However, company details, system architecture, providers and processing grounds differ. We provide reference templates to support understanding and preparation; they are not tailored to individual organisations or appraised dossiers for a specific case.<\/p>\n<h2>Where reference templates help<\/h2>\n<p>Templates are useful for understanding the questions a document typically raises, which departments hold the inputs and what needs to be consistent. An inventory form, for example, records data sources, purposes, access and storage locations. Its value lies in organising the work; the final content must still reflect actual operations.<\/p>\n<p>When contacting us, identify the documents you wish to explore: policies, notices, consent records, individual rights procedures, processing agreements or impact assessment materials. The available list and versions will be confirmed during the discussion. Not every category is mandatory or included in every template edition.<\/p>\n<h2>Reference templates and official forms are different<\/h2>\n<p>Forms annexed to legislation must be used for the correct procedure, party and current version. Decree No. 356\/2025\/ND-CP, for example, includes forms for processing and cross-border transfer impact assessments. Internal policy templates or reference checklists serve a different purpose and do not replace legally required dossier components.<\/p>\n<p>Even where a reference document cites an official form, businesses must check the official source before use. Previously suitable templates may need revision after changes in legislation, operations or receiving authorities. Our templates are not government certificates or endorsements.<\/p>\n<h2>Why changing only the company name is insufficient<\/h2>\n<p>Under Articles 2 and 37 of the Personal Data Protection Law, responsibilities depend on processing roles. Retailers, software providers and analytics platform operators may need different allocations of work. Articles 19, 20 and 21 also raise separate questions about processing grounds, transfers and impact assessments.<\/p>\n<p>Where relevant activities arise, read templates alongside the Data Law, Cybersecurity Law, AI legislation, sector-specific rules and contracts. A website data policy does not by itself resolve medical record confidentiality or rights to use a partner&#x27;s documents in AI.<\/p>\n<p>Businesses must review, adapt and complete templates before signing, issuing, publishing, filing or using them. Filling every field does not demonstrate that the document accurately reflects the operating system.<\/p>\n<h2>Checks before using a template<\/h2>\n<p>First identify the document&#x27;s purpose and whether the corresponding obligation applies. Then inventory data, roles, purposes, providers, processing locations, retention and sharing flows. Verify these with operational teams rather than rely only on planned descriptions.<\/p>\n<p>Compare each template provision with current law and business practice, add missing content, remove unsuitable provisions and identify the correct signatory or approver. Finally, check implementation: if the document promises consent withdrawal, deletion or incident notification, establish who performs it and whether systems support it. These are review suggestions, not a certification procedure imposed by our company.<\/p>\n<h2>Scope of provision and limits of company responsibility<\/h2>\n<p>Templates are supplied as general reference materials, not legal advice or a compliance solution designed for the recipient. Supply does not include operational surveys, suitability confirmation, approval of completed content or representation in filing, unless separately agreed under a different scope of work.<\/p>\n<p>To the extent permitted by law, the company accepts no legal responsibility for a business&#x27;s independent selection, amendment, issuance, filing or application of a template to a specific case. The business decides how to use it and remains responsible for accuracy, completeness, suitability and fulfilment of its obligations. Receiving templates does not transfer those responsibilities to the company.<\/p>\n<p>This limitation does not exclude liability that cannot lawfully be waived or reduce data subjects&#x27; rights. Articles 405\u2013406 of the Civil Code limit liability exclusions in standard-form contracts and general trading conditions. No. Templates support documentation; the business must still identify obligations, complete content and implement them operationally.<\/strong><\/p>\n<p><strong>Will the company check completed dossiers? Providing reference templates does not include reviewing or validating completed dossiers. Any additional work requires separate discussion and agreement on scope.<\/strong><\/p>\n<p><strong>Can an unchanged template be filed with a state authority? Do not file it without review. Check required components, current forms, signing authority, actual information and the relevant procedure&#x27;s requirements.<\/strong><\/p>\n<p><strong>Are templates automatically updated whenever the law changes? Receiving a version does not establish a commitment to automatic updates.
